Stock Take

This guide demonstrates the steps to completing a Stock Take to enable accurate inventory management in the Stock Management section of your ePOS Hybrid Admin Panel.

While the Stock Take can be completed on the Admin Panel itself, this can also be completed using the ePOS Hybrid Stock Take App on an Android device.

 

Firstly, let’s review the steps to completing a Stock Take via the Stock Take App.

 

Firstly, install the ePOS Hybrid Stock Take app on your chosen Android tablet or smartphone at the following link:

Once the app is installed and opened, the App Settings screen will appear.

Enter your Authentication Code and press Submit to proceed.

If you do not recall your Authentication Code, log in to your Admin Panel, select Restaurant Setup > Setup where your Restaurant Auth. code will be displayed.

 

 

After pressing Submit, the Staff Login screen will allow the member of staff completing the Stock Take to log in. 

After entering the passcode for the member of staff, press Login to proceed to the Stock Take App homepage. In the event of any menu item changes, it is recommended to press Refresh to update the system prior to pressing the Start button to begin the stock take.

 

       

 

The Inventory Locations, Suppliers and Product Types options can be selected, with multiple options able to be selected at one time. Once the relevant options are selected, press Next to proceed with the Stock Take.

 

The Stock Take screen will open, allowing you to enter the Product Name (this field will automatically update based on the text entered), and if Barcodes have been added to the Admin Panel, these can be scanned using the Stock Take App instead of entering the Product Name.

Use the Product Details section to enter firstly the available quantity of unused/packed units of the product, with the second boxes available to enter quantities of opened products.

 


 

After entering the relevant information, press Next to add the next product (if applicable) and repeat the process until all necessary items are added.

To review all entered products prior to submitting the Stock Take, press the Stock Take List button to view all entered details and Edit or Remove accordingly.

 

 

Once any necessary adjustments have been made, press the arrow on the top-left corner of the screen to return to the homepage, and press Finish Stock Take to complete the Stock Take.

To update the results from the Stock Take, log in to your Admin Panel and select Stock Management, followed by Stock Take.

The Stock Take screen will open, listing all completed Stock Takes, whether these are made via the Admin Panel or the Stock Take App.

 

 

The Discrepancy Status column will list either Adjusted or Not Adjusted. To ensure the latest stock take completed is listed as Adjusted, click the Edit icon in the Actions column for the stock take in question.

 

 

Click the Adjust Difference button to complete your Stock Take with the updated item quantities, to ensure that your inventory is fully up to date.

 

Next, let’s review the steps to completing a Stock Take via the ePOS Hybrid Admin Panel.

 

Once logged in to your Admin Panel, select Stock Management, followed by Stock Take.

The Stock Take screen will open, listing all completed Stock Takes, whether these are made via the Admin Panel or the Stock Take App.

 

To conduct a Stock Take, click the Add Stock Take button on the top-right corner of the screen.

The Create Stocktake screen will open, allowing you to select Inventory Locations, Suppliers and Product Types options, with multiple options able to be selected at one time. Once the relevant options are selected, press Generate Products List to show all available products within the chosen categories and proceed with the Stock Take.

 

 

Once the relevant adjustments have been made, click Submit to submit your Stock Take and return to the Stock Take screen.

The Stock Take screen will open, listing all completed Stock Takes, whether these are made via the Admin Panel or the Stock Take App.

 

 

The Stock Take Report column will begin with AP if the Stock Take was completed via the Admin Panel, and begin with Stocktake if completed via the ePOS Hybrid Stock Take App.

The Discrepancy Status column will list either Adjusted or Not Adjusted. To ensure the latest stock take completed is listed as Adjusted, click the Edit icon in the Actions column for the stock take in question.
