Manage Staff

 

In this guide, we will display the steps to Add and Manage Staff on your ePOS Hybrid Admin Panel.

 

Firstly, log onto your Admin Panel at https://www.eposhybrid.uk/ or via the ePOS Hybrid Operator App. Once logged in, select Staff Management, followed by Manage Staff.

 

 

The Staff List screen will appear, listing all active members of staff. 

While the Previous/Next buttons allow you to review all members, specific members of staff can be filtered by Name or Designation.

Staff no longer with the business can be searched using the Status dropdown box.

 

To Add a new member of staff, click the green + Add Staff button on the top-right corner of the screen.

The Add New Staff screen will appear, allowing you to enter the necessary information required to add your new member of staff.

 

 

Of the fields in the Add New Staff section, the only mandatory fields are the First Name, Passcode (which is automatically generated for you) and Joining Date. All other fields are entirely optional and can be completed for record-keeping purposes.

The Employment Details section allows you to specify the staff member’s contract type, contracted Hours Per Week and their Primary Designation (or role) within the business. The Pay Rate fields allow you to select between Hourly and Annually options, depending on the member of staff, and also specify if the staff member is On Call.

 

If the staff member works in more than one Designation, click the red text that follows the Employment Details section to open up a second Employment Details section, allowing the relevant information for the second Designation to be entered - this process can be repeated as many times as required.

 

 

After updating the Employment Details, the next section available allows you to record which Mandatory Training (if any) is required for the member of staff. Click the relevant checkbox for each applicable item of Mandatory Training.

The next optional fields allow you to enter the staff member’s Bank Details, Driving Licence Details or Upload any other relevant documents if needed - these sections are entirely optional.

For Driving Licence Details, click + Add Licence to add a new Driving Licence Type if the dropdown box does not have one available.

 

 

The final section allows you to set the staff member’s Permissions.

 

 

Click the checkbox for each relevant Permission you want the staff member to have - if the box is unchecked they will not be able to log in if the relevant permission is app-based, or will require authorisation from a staff member with the relevant permission enabled if it is transaction-based, such as Staff Discount, Void Item or Special Discount.

 

Once all relevant fields have been entered and Permissions have been set, click the green Submit button to Add your new member of staff and return to the Staff List screen.

After returning to the Staff List screen, there are a number of options available in the Actions column:

  • The green Edit icon allows you to amend or update any details for the relevant member of staff;

  • The Change Status icon will allow you to update the Status of the member of staff, with the options available listed as Working, Resigned, Terminated or Suspension. If any option other than Working is selected, the member of staff will be removed from the active Staff List and will only be visible using the Select Status dropdown and selecting the chosen status;

  • The Operator Temporary Password icon will allow a temporary password to be generated for the relevant member of staff; 

  • If the member of staff has the Driver App Permission enabled, a small coloured square will appear as the final icon in the Actions column - clicking the icon will allow the colour the driver is represented with on Driver Tracking to be changed.
